We have a few last year seniors that are finishing their credits prior to Oct. 1. I assume they are then reported on the 2007 GR report with their graduation status reported appropriately. My question is what do I do about their ME status for Sept 14 if they are still here between Sept. 14 and OCT. 1?

  A

Do not enroll these students, do not count on ME, PE, AT, DM, etc. if you issued them a diploma and will report on the GR for 06-07.

A student is awarded a local certificate of attendance, certificate of course completion, or certificate of some other name at the end of the 2006-2007 school year.  The student returns to school in the fall to complete requirements to earn a diploma. How should the school count this student for graduation reporting, funding, and other purposes?

  A

Except for a certificate of completion issued pursuant to 511 IAC 7-28-3 to a special education student who is not working toward a high school diploma, no certificate is recognized by the state.  Indiana Code 20-32-4 and State Board of Education rule 511 IAC 6-7 establish minimum requirements for graduation.  Until a student meets those requirements, the student is not a graduate regardless of whether the student's school earlier awarded the student some type of certificate. If the student completes all graduation requirements during the 2007-2008 school year, the student is counted on the DOE-GR at the end of the 2007-2008 school year.  The student, if enrolled, will be counted in DOE-ME Membership, DOE-PE Pupil Enrollment, DOE-AT Attendance, and any other 2007-2008 school year data collection for which the student is eligible to be counted.

We have a student that should have received a 2006 diploma but didn’t finish his correspondent course in time.  However; he has completed and will receive a 2007 diploma.  How do we count him?  He was not in the dropouts for 05-06 or the PE for 05-06.  Can I just add him to this year’s graduate class?

  A

Because Pupil Enrollment is a one-day count early in the school year, the scenarios you described will not be particularly unusual.  There will, for example, be many mobility students graduating this year from schools that they did not attend on September 30, 2006.  We do no anticipate that you will have any problem submitting the DOE-GR data.

Do we report foreign exchange students that went through the graduation ceremony and received a certificate of completion on the graduate report?

  A

The student should be reported as a mobility student on the Dropout and Mobility Report (DOE-DM).  If the student was issued a diploma, report the results in the proper category on the graduate report.

We had a functional skills student (student with an IEP) graduate this year with a certificate of attendance.  What should we put for her graduate type on the GR Report?

  A

It looks like this student may be reported as a Graduation Type 6 “Certificate of Achievement”.  Please check the definition in Field 4 on the DOE-GR Data Layout.

I really don't know too much about the new field ASC graduate (Adult Secondary Credit).  Is that the Adult Education program to obtain a GED?

  A

There are three types of adult education programs in Indiana.

  1. Adult Basic Education
  2. GED
  3. Adult Secondary Credit

Only number 3) Adult Secondary Credit culminates in a high school diploma that should be reported on the DOE-GR. Most students who leave their high schools of residence to attend Adult Secondary Credit programs return to their original high schools to have the credits accepted toward receiving diplomas. In very few instances, the diploma is granted by the Adult Secondary Credit program or at the high school where the program is housed.

My GR report shows 6 more students than the last file I sent. Is there a way to see the students that you are showing as graduates? I do not see a place to download a roster so I can verify.

  A

You may view all of the GR records that you have submitted by go to Data Transfer > Input Forms > Graduate.

I submitted a few students on my graduate report that I need to delete.  How do I do that?

  A

Go to Data Transfer > Input Form > Graduate.  You will see a list there of all the records that you submitted.  There is a red ‘x’ on the right hand side of the screen for you to delete records.

I received the following warning when I filed my Graduate report for 06/07:  XXXXXXXXX, This STN has a graduate record from a previous academic year with a graduation type of Certificate of Achievement or Course Completion. I checked my 05/06 Graduate file and did not submit this student as a graduate for that year.  I also looked at the student’s record on the STN website and there is only one Graduate record (the one that I just submitted).  It looks correct; the student should only have one graduate record, which is the one that I just sent for the 06-07 school year. Where is the conflicting graduate record coming from and is there something that I need to do to clean this up?

  A

There was a GR record submitted from another school district for 2005.  You will need to look the student up and delete the record that you submitted for that student.
