We have a student who did not finish graduating until after school stated this year. Since we were paying for has makeup classes, he has been reported on all our state reports. After the meeting on Friday, I asked Mr. Bruce and he said this student should be reported on next year's graduate report. My question to you is for the rest of the year, since he is now graduated, how do I report him? Should I just stop the reporting attendance as of the date of graduation and not report him on the Membership?

This student should be counted on membership if in membership on count day. This student will be reported on DOE-PE Pupil enrollment as a retained 12th grader if enrolled on Oct 1 and the attendance records should be kept for the time the student is enrolled. The student should be
reported on the next year’s graduate report. |

We have had a WWII veteran submit the proper paperwork necessary to receive his high school
diploma this year. This is in accordance with PL 127-2002 and has been approved by the DOE.
Question: Do we include him on our graduate reports this year? If so, then do I need to enroll him
in school, assign him an STN, etc. so he will appear on the GR report? Or, do we just attach his
paperwork to his 1943 transcript to indicate he graduated in 2007 and not otherwise report it?
I do not recall this situation appearing on the listserv but I would think it has occurred in other schools. Since everything is now being sent through the STN, a determination as to how to handle this type of situation should probably be made. |

We are interested in only KG-12 age level graduates, not the number you graduate. It will not be
necessary to assign a STN or include him in any reports. Just attach the paperwork to his 1943 transcript. |

We have one student who is getting PK speech services in one of our elementary schools. That
is the only service provided - we do not have a PK program/class - only PK speech with a therapist. Do you want this PK speech student submitted for the PE report? |

take the ISTEP. As such, they're listed on our STN report. Do I include them in the DOE-PE? |

Sorry if this has been posted before, but I'm new this year to State Reports. We are using Sasi as
our SIS. My question is; a student that lives in our district, but attends a school in Indy, was reported on our PE report. Should his attendance be kept active at our High School? I think they should inactivate the student, because he is not in attendance. Is this correct? How do other School Districts handle students attending elsewhere when they reside in the current district? |

For most collections, the data is reported by the school/corporation where the student attends. This is true for both Attendance (DOE-AT) and Pupil Enrollment (PE). You will find Data Layout instructions that explain who to report for these collections at the bottom of the STN web page
(http://www.doe.in.gov/stn/welcome.html). Under certain circumstances, it may be appropriate for your school/corporation to report this student for Membership (DOE-ME) purposes. These circumstances are described in the DOE-ME Data Layout instructions (which are also found at the bottom of the STN web page). For any additional clarifications beyond those provided in these instructions, contact the Office of Financial Management, Analysis, and Reporting (formerly the Division of School Finance), 317/232-0840. |

Do we mark a student as retained on the PE Report if they were retained in other school district
last year? |

The DOE-PE due in October is for the upcoming school year (2007-2008). You should only report
students as "Retained" if they are retained during the 2007-2008 school year in the same grade they were in during the 2006-2007 school year. |

My totals on the Pupil enrollment have changed by 2 or 3 since I first submitted my data.
Will there be safeguards built in to prevent students from being "claimed" by another
corporation? |

The final due date for pupil enrollment data is Oct 31st. I would encourage you to check your
reports in the message center for accuracy up to this date. If you do not have any pupil
enrollment duplicates listed, but your totals have changed from when you originally submitted
your data, you can send your PE file again. This will generate an error message on the STN
numbers that may have been "claimed" by another corporation. Please remember that you are
asked to confirm the enrollment of the student with the other school listed before assigning that
student to your school. |

We have a student that withdrew for a month and then returned before the end of the year.
How do we handle their enrollment dates? |

You will have two records for that student. One from the first day of school until the time that
the student left and a second record for the date the student returned until the end of the school
year. |

We have about 14 students that we are receiving errors on that they weren't listed on our PE
report. Is there somehow that we can get those students included in that report so that we can
go forward with our AT report? |

What you received were warnings for those 14 students. We ask that you verify the data and
if the data are accurate then no action is necessary. The records were accepted and will be
included in your aggregated data. We are not making changes to the PE report. |

I had an error on the grade level that I submitted on the PE. We do have only a few Special
Education students who are in grades 4 and 9 while we are a 5-8 school. What do I do? |

Please fax a request to Amy Hart to include these students for the PE report. Please note that
this will not take affect immediately, so send your file again a day later. The fax number is 317-
233-6326. |

The Error log for DOE-PE states 'PK' is not a valid grade level for school '5265' and
'5267'. Those two schools do have PK students. Can you have that problem fixed? |

You will need to fax a request to have grade PK added to those schools to Amy Hart at 317-233-
6326. |

When submitting the DOE-PE report I am receiving an error that we have two students
in conflict with another school. How do I correct these? |

Please go to the Message Center, Conflict Resolution, and select "Pupil Enrollment 2007-
2008". If the record that you have submitted is correct we ask that you contact the school
that submitted the other record and work out the issue. |

I need to remove a record submitted on the PE, student was marked as retained.went to their
STN and Pupil Enrollment; I thought the delete record option would be there. Is there someplace
that I can take just this students record out and submit a new record with the correct
information? |

If you re-submit a record with the same STN it will replace the old record. |

I just submitted my PE and I had 19 students kick out with the error of: This student has
already been submitted by an outside corp. How do I view and correct these conflicts. |

I’m trying to send my PE report. I have made several attempts. The attached is the most
recent error that I get. I’m not sure what I’m doing wrong. File line 1 does not contain the
correct number of data elements. |

Your error is that you have saved it from Excel as a TXT file (which is tab-delimited, with tabs
between the cells) instead of CSV (comma-separated variables, commonly referred to as
"comma delimited," which has commas between the cells). Here are some instructions:
When done, first save your file as an Excel file with an “xls” extension. It may be used to fix
mistakes discovered later and may be useful for future submissions. Then File > Save As and
change the file type to comma delimited file (with a “csv” extension). |
