    Question and Answer
Counting Students
4.
Q

If a Kindergarten teacher teaches full day kindergarten, are they still counted as ½ in Part I?  This wasn't explained in the side like it was for the students.

  A

There was no change in the way kindergarten students are counted regardless of whether they are a full day program or a half day program.  They are counted as ½ in part 1 and as 1 in part two.

Q

Part I Data Element #5 Aides- What exactly is a "prorated count" versus full time aide?

  A

The only pro-ration is if there is a multi grade level classroom and you need to prorate the teacher time based on the number of student in each grade level for that classroom.

Q

Part II Data Element #8, what is a classroom sequence #?  Are we just supposed to number the rooms 1- however many?  Then what happens since our 3rd grade rooms are in a different building than our KG-2?  Can we start back at the beginning?

  A

Sequence number is the classrooms numbered from 1 through ? depending on the number of classrooms a corporation has in grades k through 3.  The only time this number is really important is in the split level classrooms.

Q

We have a multi-age classroom consisting of half 2nd graders & half 3rd graders.  How should that be reported on Part II of the Prime Time report?

  A

The prime time class room would be reported as two classrooms (split section).  You would prorate the teacher time based on the percent of students at each grade level.

Could someone please explain what is meant by Split Section and Classroom Sequence Number on the PT report?

  A

A split section is when you have a classroom with multiple grade levels.  For example you have a room that has 10 first graders and 10 second graders.  You would need to report this classroom as two classrooms of 10 students with a .5 for each teacher and/or aide.  So if the sequence number of the first grade classroom is 10 and the second grade classroom is 11 for the split you would say in the first grade classroom the split is 11 and in the second grade classroom the split is 10. The sequence number is the 1, 2, 3, 4, 5, 6, etc., the classroom number they are currently inputting.  You need this information for the split.

I am trying to submit my Prime time part 1 File.  I have my file in green, but when I click on the green icon I only see one record processed.  I have about 137 records in my file.  I do not see any errors or warnings.  Why aren’t my records getting processed?  What should I do?

  A

The processor reads the transfer as 1 record but if you check your Primetime report you will see that the data has loaded.  If you scroll to the bottom of the page, you will see where the errors are.

Q

I have submitted our Prime Time report parts I and II.  I did not receive any errors in my submission but my home screen says I did and they do not balance.  Can you give me some guidance here?

The ADM, Teachers, and Aides in Part 1 for kindergarten should be half of the amounts reported in part 2.  In grades 1, 2, and 3, the part 1 and part 2 numbers should agree (ADM, Teachers & Aides).
